Identify the payer and document type
A business traveler may need a Colombian factura electrónica or another legally acceptable receipt. The appropriate document depends on the provider’s tax and invoicing obligations; not every private host is required to issue the same document. Ask the operator what they can lawfully provide before booking, and have your accountant or employer confirm whether it is sufficient.
Send the exact billing details
If your employer has a NIT or specific billing address, provide it through the secure invoicing process rather than hoping the operator can edit a personal receipt weeks later. Clarify whether the accommodation provider, booking platform or property manager is the seller for tax-document purposes. Keep the reservation and payment account aligned with that name.
Itemize what was purchased
Ask for lodging dates, amount, currency, included administration, cleaning and any other charges. If the company reimburses only lodging and not extra guests or amenities, splitting the description may matter, but the invoice must accurately reflect the real transaction. Do not request a false amount or a fabricated invoice.
Plan the final handoff
Confirm when the receipt or invoice will be issued, in what format and who handles corrections. A reliable provider can explain the process in advance. For high-value corporate stays, documentation and cancellation terms may matter more than a small rate difference.
